This Privacy Policy explains how EPEVER handles personal data in the EPEVER Webshop: when you browse the catalogue, create an account, save favourites, request a quotation, place an order, pay, receive a delivery or contact us about an order. Questions can be sent to ecommerce@epever.eu.

1. Who is responsible

EPEVER operates this webshop and decides why and how the personal data described here is processed. For any privacy question, correction or request relating to your webshop account or an order, write to ecommerce@epever.eu and mention your order number where relevant.

2. Data we collect in the webshop

  • Account data: name, email address, password (stored only as a secure hash), preferred language, and, for business customers, company name, VAT number and purchase type.
  • Order data: the products, models and quantities you buy, unit prices, discounts, VAT, shipping cost, order status and history, invoices and any order notes.
  • Delivery data: shipping and billing address, postal code, city, country, phone number for the carrier, parcel weights and dimensions, carrier and service chosen, and tracking events.
  • Payment data: the payment method used, amount, currency, payment status and the reference our payment provider returns. Card numbers are entered on the payment provider's own secure page and are never received or stored by us.
  • Quotation data: the items and quantities in a quote request, the delivery country and address you supply, and the correspondence about that quotation, including quote-only items such as certain lithium batteries.
  • Support and contact data: what you write to us, the attachments you send and our replies.
  • Shop activity: cart contents, saved favourites, recently viewed products and comparison selections, kept in your browser and, when you are signed in, on your account.
  • Technical data: IP address, device and browser information, and security or error logs generated when pages and checkout are used.

3. Why we use it and on what legal basis

  • To take and perform your order, arrange delivery and handle returns, refunds and warranty claims, necessary for the contract with you.
  • To manage your webshop account, favourites and order history, necessary for the contract.
  • To prepare and follow up quotations you request, necessary to take steps at your request before a contract.
  • To take payment and detect fraudulent or abusive orders, legitimate interest in secure, correct payment.
  • To answer support, returns and warranty questions, contract performance and legitimate interest.
  • To issue invoices and keep tax, VAT and customs records, legal obligation.
  • To send commercial newsletters and non-essential cookies, only with your consent, withdrawable at any time.
  • To keep the shop secure, available and free of misuse, legitimate interest.

4. Who receives your data

We share only what each party needs: our payment provider (to process your payment), carriers and our shipping platform (to produce labels and deliver your parcel), our warehouse and logistics partners (to pick, pack and dispatch), our email delivery service (order, shipping and invoice notifications), our accounting and ERP systems (invoicing and administration), and our hosting and database providers. Local distributors or service partners may be involved when they handle your quotation, delivery or warranty case. We do not sell personal data.

5. International transfers

Our systems are hosted in the European Union where possible. When a provider or an EPEVER entity outside the EEA is involved, for example for group-level support or a delivery outside Europe, we rely on an adequacy decision or on the European Commission's standard contractual clauses with appropriate safeguards.

6. How long we keep it

Order, invoice and VAT records are kept for the statutory retention period that applies to them (in the Netherlands generally seven years, longer where customs or product liability rules require it). Account data is kept while your account exists and removed within a reasonable period after you ask us to close it, except for records we must keep. Quote requests are kept for up to two years, support correspondence for up to three years, and cart, favourites and recently viewed data only while relevant to you.

7. Cookies and similar techniques

The webshop needs a small number of strictly necessary cookies to keep your session, cart, chosen language and security protections working; these cannot be switched off. Any analytics or marketing cookies are used only if you have consented to them, and consent can be withdrawn at any time by clearing them in your browser or by writing to us.

8. Security

Traffic is encrypted in transit, passwords are stored hashed, access to order and customer records is restricted to staff who need it, and card data never reaches our systems. If a data breach is likely to put your rights at risk, we will inform you and the supervisory authority as required.

9. Your rights

You can request access to your data, correction, erasure, restriction or portability, and object to processing based on our legitimate interests. You can also withdraw consent for newsletters or optional cookies at any time. Write to ecommerce@epever.eu; we may ask for confirmation of your identity, and we answer within one month. You may lodge a complaint with your national data protection authority.

10. Children

The webshop is aimed at installers, resellers and adult consumers. We do not knowingly create accounts or process orders for children under 16.
